Position Description:

We are seeking a reliable and organized Service Dispatcher / Receptionist to support daily operations at federal facilities in Yuma and San Luis, Arizona. This role is the central communication point for work orders, technician dispatching, vendor coordination, and front-desk customer service. The ideal candidate is professional, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

Duties and Responsibilities:

Dispatching & Work Order Management

• Receive service requests via phone, email, or walk-in and create work orders in the CMMS/NCMMS.

• Dispatch HVAC, electrical, plumbing, grounds, and maintenance technicians based on priority and skill.

• Track work order progress and update statuses in real time.

• Monitor recurring PM schedules and coordinate technician assignments.

• Follow up with technicians to ensure timely completion and accurate documentation.

Front Desk & Reception Duties

• Answer incoming calls in a professional and friendly manner.

• Greet visitors and coordinate check-ins in compliance with federal building rules.

• Provide general information to building occupants and government personnel.

• Maintain the reception area in a clean, orderly, and professional condition.

Administrative Support

• Maintain logs, spreadsheets, and daily activity reports.

• Support procurement activities by sending vendor requests and tracking responses.

• Assist the Facility Manager with scheduling, correspondence, and record-keeping.

• Prepare incident logs and maintain documentation for quality control.

Communication & Coordination

• Serve as the communication hub between government personnel, field technicians, and management.

• Coordinate with subcontractors and track their arrival, work progress, and completion.

• Escalate urgent or high-priority issues to the Facility Manager promptly.

Required Qualifications and Experience:

• 1-3 years experience in office administration, dispatching, customer service, or similar role.

• Strong communication skills (phone, email, and in-person).

• Ability to multitask and work in a fast-paced environment.

• Proficiency with Microsoft Office (Outlook, Excel, Word).

• Strong organizational skills and attention to detail.

• Ability to pass a federal background check (HSPD-12).

Preferred Qualifications

• Experience in facility services, construction, maintenance, or dispatching trades.

• Familiarity with CMMS/NCMMS or other work order systems.

• Experience working in federal or high-security buildings.

• Bilingual (English/Spanish) is a plus.
